View Full Version : how to put a show together help....
ok so my friend recently just got out of the hospital yesterday. shes been sick since January and has undergone 15 surgeries since then and still has 2 more. shes lost all her memory and all her motor skills. doctors didnt think she'd ever get her memory back but luckily shes slowly remembering her family and friends and learning to swallow and how to say high and things like that. Medical bills are high and the family needs to get care takers and tutors for her. I want to put together a benefit show for her to raise money for her family... except i dont know anything about how to put a show together....
a few things i need to know....
-about how much is it to get a small venue for the night. i was thinking of the Chain Reaction in Anaheim if anyone knows it. (www.allages.com)
- im getting local-ish bands, small time bands, not signed yet type bands... about how much do you think they'd want to play at the show?
-how much of the profits from the show would go back to me? or does it differ from venue?
-any other useful information would be greatly appreciated...

Around here, for a very small venue like a VFW or Knights of Columbus, it costs like $500 and up. Maybe expect anywhere up to a grand? I'm not sure. You could always call up the place and ask. As for the bands playing, if you really wanted the money to go to the medical bills, I'd just give all the money made from the show to the one who needs it most. I'm sure bands would be okay with that, especially local bands. But if you do pay them, I'd say it would have to depend on how much they draw to the show as far as how much money they make (then have like donation jars or something/have donation jars anyways). As for what you get back, usually the person renting out wants to make their money back so at least half of what you paid to rent out with be pretty good.
I'm not sure as I've never set up a show. Anytime my band played, we were invited or just asked to get on the line-up.
If you are doing this for a benefit a lot of venues will let you have thier place for free or at least for a nice discount. There's a couple small places out this way that costs around $300 to rent out. Chain Reaction is a pretty big venue right? That might be a little more but if you say it's for the benefit they may give you a break.
As for bands locals usually don't ask to be paid but some of the more established will. I wouldn't spend too much money on locals. I'd say $100 tops for all locals combined, you should have them sell some tickets to help you front the money for the venue.
For something like this I wouldn't put any touring bands on becuase they will ask for a good bit of coin to play and that's not what you want to be doing, spending unecessary money.

I would contact charitable organizations that might be involved with whatever condition your friend needed surgeries for (or general medical charities if you can't find any).
It's likely you can work out a deal with them where they'll split the money in some way where X amount will go to your friends family and Y amount to the charity.
I'd also think about getting some t-shirts or wristbands or some kind of merch made to sell if you can get something going with a charity. You will raise a lot more money this way.
Charities LOVE to get involved with things like this and they have the power to promote the show in a way you don't, which will result in a better fundraiser overall... so don't shy away from the idea. If a large organization is involved, at the end of the day you will definitely raise more money than if you were doing it on your own - even in splitting money with them.

i think the insurace is covering the surgeries but insurance doesnt cover the care takers and the tutors and all the extra things she needs at her home so she can still function. and move.

umm no. actually the chain reaction is pretty small. the only problem im havin now is the fact that theres supposed to be like a sex shop a couple store down from it and so my parents wont let me do it there....(im only 16). but i'll try to find another place. i was also thinking this like kinda like a mulitpurpose room. place in my city. they do all of the battle of the bands there. and so i can probably do it there if i cant get anywhere else, and im sure they'll do it for free or real cheap.

well about the charities thing, my friend has a club at school, the club is for the rehab center my friend stayed at and then another club is for CHOC. and they were going to combine events to do this show but i didnt want to involve the school because then we'd have to get school approval and they might be a bit strict and also because i hvae a feeling that the money would no longer go to her family but instead like choc or the other club or something else. and i also think it'd work better if i did it with out the club's help. do you think i should still do it through the school?
ok so for how much money would go back to my friends family is something i need to discuss with the venue owner/bands?
My friend just started a tshirt company a few months ago and theyre getting pretty popluar at school and so i asked him yesterday if they'd consider helping and making shirts for the event and donating money to her family and stuff so we'll see about that.
i'll look into the charity idea. i gotta find some charities first... i was hoping to get the show possibly in december because after the break would be finals and everyones gonna be busy which school. and yeah... so dont have much time to plan everything.
Sherwood might be a bit but if you're confident they will draw enough kids to cover their guarantee and more so you can make money then do it.
I think a charity could probably help you put something like that together by December if you found one now that would be interested.
It also could be a great idea to ask bands that are bigger than local bands, or local good-sized record labels to help out.
There are definitely bands out there that would do something like that for free or very little pay to help out (I hope, anyway!). You should find touring bands from around your area (CA I guess) and check their tour schedules and see if they'll be busy around the time you want to throw it together.
A friend of mine (from CA) wound up talking to someone from K-Roq about a benefit concert she was trying to put together once... and that person was very receptive (enough to try to get in touch with the Foo Fights to play). So maybe local radio stations would be good to contact too.. they usually have good connections.
Hm... i'll have to talk to their manager or whoever i talk to to ask how much they want and that stuff.
i think i got a place to do it at. i just need to ask now. on sunday i talk to my friends parents to make sure theyre ok with us doing the show. and then they go to church and the church they go to has a pretty big room with a stage and stuff that could work so hopefully the church would let us do it there for free.
yeah the bands part, i didnt want to put just high school bands cause they're not always good... so i had a few bigger bands in mind. local sized labels? what kind would those be... I live in Orange County so the only record labels i know near here would be the ones in LA... Yeah, i checked their tour days and all the bands i have in mind arent touring. i wanted to do it in december so most bands would be off tour anyway.
Oh yeah, KROQ...there a bit big... i dont think i have the power to get them to help out...
Kinda a dumb question but like what kinda help would the charities or the radio station or labels be able to provide? and if they did... wouldnt it cost alot?

you just may need to give them a bit for gas
if you do try and get a bigger band you can book it on their day off so its not a hassle for them
and you explain what it is for they might do it for free/small guarantee

how would i ask a band to play tho? like i know i should tell them the story and the cause and then i ask them if they'd like to play? but then do i say like if you could do this for free or would they ask for money?
it'll all be indoor so i dont think we should bring food inside. it'd be wayy to hard to clean up if someone spills something. its carpet floors... and i was thinking to buy water for just the bands.
anyone know the extra things i would need to do? my dad says i should hire a professional clean up crew...anyone have any thoughts on this stuff?

usually only if they ask for it
but sometimes people do it to be nice to the bands
alright cool.
so far ive got the parents approval. i sent an email to the church about using their campus for the show and one of the bands replied and said they could possibly play, i just gotta send them more details as soon as i get it.
since im doing it at a church would i need to provide anything that i would have if i were doing it at a venue? the room in doing it in has a stage and stuff like that. but would i need to provide thigns like sound boards and stuff?

the church will probably have all the sound equipment that you will need. just make sure to ask them and try to get a hold of the church's tech guy (who runs sound during services) as he will know a lot of the details
